This privacy policy describes our practices regarding the collection, use, disclosure, transfer, and erasure of data covered by this policy. The privacy policy complies with the EU General Data Protection Regulation, applicable Finnish legislation, and the guidelines and recommendations issued by the Data Protection Ombudsman.

What Personal Data We Collect and Why

Personal data refers to any information relating to an identified or identifiable natural person, or describing their characteristics or living conditions, which can be linked to them, their family, or those living in the same household with them. The medium or platform on which the data is stored is of no significance.

Personal data is collected and processed for the maintenance, development, and management of customer relationships and other appropriate business contacts. In addition, the purpose of processing data includes customer communications and marketing, the delivery of electronic newsletters, including direct marketing, as well as opinion and market surveys. The legal basis for processing personal data is therefore the performance of a contract, our legitimate interest, or the consent of the data subject. 

Personal data is not used for automated decision-making or profiling. 

Customer Service

Customer feedback or questions can be submitted to Töölön Vire by phone or email. Emails are handled by the person to whom you have addressed your message.

Contact Forms

Töölön Vire's website contains contact forms to improve the customer experience and speed up inquiries. In all contact forms, we collect personal data from customers in order to identify and respond to inquiries. This personal data includes name, email address, phone number, and any additional information submitted by the customer. We also collect the user's IP address and browser version details to facilitate spam detection. We retain this personal data for two years, unless required otherwise by applicable legislation.

Job Applicants

Töölön Vire collects personal data from job applicants to carry out recruitment processes, manage candidate communication, and develop our recruitment services. The collected data includes name, email address, phone number, and city, as well as application documents provided by the applicant, such as a CV and cover letter, and any contact information of referees provided by the applicant. By submitting an application, the applicant consents to the processing of their data in the recruitment process. Processing recruitment data is also based on pre-contractual measures, and the development of our service is based on our legitimate interest.

For certain roles, we may check the applicant's credit history from official registers. Such checks are always announced in advance and are not performed without the applicant's consent. Credit information is deleted immediately after the recruitment decision is made.

If we recruit on behalf of a client company—which is stated in the job announcement—the data may be disclosed to said client. Otherwise, personal data is used solely by Töölön Vire, except when using external service providers for IT or other value-added services. Service providers process personal data on behalf of Töölön Vire and are not permitted to process data for any purpose other than providing the agreed service. 

Application data is retained for two years after the conclusion of the recruitment process.

Webinars

Registration for Töölön Vire’s webinars takes place via the Putiikki online store. During registration, name, email address, address details, and optionally a phone number are collected. The data is used to organize the event and communicate with participants. The processing of data is based on the fulfillment of the order and the consent given during registration. 

Personal data is shared with service providers who deliver IT services related to organizing the webinar. Service providers process data on behalf of Töölön Vire and may not use it for any other purpose. The data is retained for one year after the webinar.

Our website uses cookies. A cookie is a small text file sent to and stored on the user’s computer, which enables core website functions and helps identify visitors to the site.

Blocking Cookies

Users can configure their browser settings to accept or block cookies. Users can also configure their browser settings to notify them when cookies are being used, allowing them to accept cookies on a case-by-case basis.

Analytics

Statistical visitor data is collected from the online services using Google Analytics, provided by Google (Google Inc.), to facilitate monitoring website usage. For this purpose, Google Analytics uses cookies, which are text files transferred to the user's computer. Information generated by cookies regarding website usage is transmitted to and stored by Google. The user's IP address is anonymized before being transmitted to Google. In accordance with its Privacy Shield certification, Google states that it adheres to the EU–US Privacy Shield framework. Google may transfer the data collected by Google Analytics to third parties if required by law or if third parties process data on behalf of Google. In accordance with Google Analytics' terms of service, Google will not associate the IP addresses of data subjects with any other data held by Google.

Data Sources

Data is collected through Töölön Vire's own operations and as entered by the customer when filling out contact forms. The primary source of data is the customer themselves. Data may also be obtained from official registers, company registers, and shared business partners.

Transfer of Data

Customer register data is used solely by Töölön Vire, except when using external service providers to produce IT services or other value-added services. Service providers process personal data on behalf of Töölön Vire and are not permitted to process the data for purposes other than providing the agreed service. However, data is not disclosed to third parties or partners for their own use, except in matters relating to debt collection or invoicing, or where required by legislation.

Personal data is not transferred outside the European Union or the European Economic Area, unless necessary for the provision of services related to the customer relationship or other legitimate context. In such cases, we base transfers on standard contractual clauses approved by the EU.

How Long We Retain Your Data

The retention periods observed by Töölön Vire are based on statutory obligations applicable to the controller, agreements between the controller and the customer, and the rights and obligations arising therefrom. All personal data is retained by Töölön Vire for three years, unless otherwise required by legislation.

What Rights You Have Regarding Your Data

As a registered individual, you have rights concerning the processing of your personal data. You can exercise your rights by contacting the person indicated at the beginning of this document via email. We may, if necessary, ask the requester to verify their identity. We will respond to your request within the timeline required by the EU General Data Protection Regulation, which is within one month.

As a data subject, you have:

• Right of access. You may request a summary of the personal data we hold about you.
• Right to rectification. If your data contains errors or is incomplete, you may request its correction.
• Right to erasure. You may request the erasure of your personal data in certain circumstances. However, we cannot delete data that we are required to retain by law or contractual obligations.
• Right to restriction of processing. You may request that we restrict the processing of your personal data in circumstances permitted by law.
• Right to object. You have the right to object to the processing of your personal data in certain situations when processing is based on our legitimate interest.

How We Protect Your Personal Data

Access to systems containing customer data is restricted to authorized employees who need to process customer data as part of their work duties. Each user has a unique username and password for the system. Data is collected into databases protected by firewalls, passwords, and other technical safeguards. Databases and their backups are stored in locked premises, and access to the data is restricted to designated personnel. 

How We Respond to Data Breaches

If Töölön Vire becomes aware of a security breach involving its systems that is likely to seriously compromise the privacy of users, Töölön Vire will notify users of the personal data breach without undue delay. The notification will describe what data is affected, the likely consequences of the breach, and the measures taken to address it.
